Context

When Amazon restricted an ASIN over a valid GTIN

The seller was trying to create a listing for a dietary supplement under their registered brand, using the GTIN as the product ID, which had been purchased directly from GS1 and belonged to the seller’s company.

In most cases, having a valid barcode from the official issuing body is enough to create a product on Amazon and be compliant with the listing requirements related to Product IDs.

But even so, Amazon blocked the submission with Error 8572, stating that the product identifier did not match the brand.

Because of that, the seller assumed the fix would be a documentation problem, which is valid to think, so they expected that by sending Amazon proof that the GTIN belongs to the brand, the flag would clear.

But since the GTIN used for the product in question was purchased properly, and they were the owners of the product, that meant it wasn’t just a problem with the documents, it must have been something more related to an issue with the data in that document.

Otherwise, how could Amazon have said that the product ID didn’t belong to that product if it was the first time it had been used?

That is what we kept in mind to find a way to solve this case.

Why Amazon treated a legitimate GTIN as invalid

Error 8572 appears when Amazon cannot confirm that a GTIN belongs to the brand entered on the listing, since the message points directly at the GTIN , here is an example:

“You are using UPCs, EANs, ISBNs, ASINs, or JAN codes that do not match the products you are trying to list. Using incorrect codes is prohibited and it can result in your ASIN creation privileges being suspended or permanently removed. Ensure you are always using the appropriate code when listing a product.”

This message also confirmed to us that this case was a matching problem between three separate records that Amazon’s backend keeps apart:

1. The brand attribute on the ASIN

2. The ownership record at GS1

3. And the legal entity behind the seller account

Because for a GTIN to be valid on Amazon, the brand registered with GS1 has to match either the brand attribute on the ASIN or the name on the Seller Central account (one of the two, not necessarily both), and when neither matches, Amazon treats the GTIN as unverifiable and applies the invalid GTIN flag.

With that in mind, when we found that the ASIN’s page in Seller Central shows one brand name, but the backend authority that validates GTINs checks an additional set of fields entirely and flagged the listing, it meant that the brand name stored in Amazon was, in fact, the issue.

In this case, when the listing was first created, the seller entered an abbreviated brand name instead of the full name registered with GS1, for example, Amazon stored “AB,” while the GS1 record showed “Alpha Brand” The GTIN was connected to the complete brand name.

A person could understand that both names referred to the same brand, but Amazon treated them as two different brands.

But since those names did not match, Amazon concluded that the GTIN did not belong to the product and marked the GTIN as invalid.

This created two separate issues:

1. Amazon had the wrong brand name stored on the ASIN.

2. The GTIN had already been flagged as invalid because of that mismatch.

The seller could not solve the GTIN issue first as long as the incorrect brand remained in the catalog, because Amazon would continue comparing the GTIN against the wrong information, so the brand attribution had to be corrected first. Only after Amazon recognized the correct brand could the invalid GTIN flag be reviewed and removed.

Why one appeal round was not enough

The first instinct after getting Error 8572 is to send everything at once:

• GS1 Certificate

• The Trademark

• The Letter of Affiliation

All in one shot, and that can work, but it is not the approach we took here because it can create more problems than solutions.

Instead, to make this the right way, we focused on understanding why this is happening in terms of how Amazon works, and why this kind of strict checking is fairly new, too.

In the past, a lot of sellers used what people called recycled UPCs, barcodes that got resold and reused on totally different products, with almost no one checking if that was allowed, after finding it out Amazon banned that and started checking much more closely, which is why even a UPC bought the right way, straight from GS1, can still get flagged if something else in the listing does not match up.

That history explains why the case could not be treated as one flat pile of documents.

Each piece of evidence exists to answer a specific question Amazon has about ownership, and sending a document before Amazon is asking that question does not speed anything up, it just sits in the case unread.

For example, the GS1 certificate and trademark answer “does this brand own this GTIN”, while the Letter of Affiliation answers a completely different question, “is this seller allowed to represent that brand.” Treating those as one bundle instead of two separate answers is what makes most appeals stall, since Amazon reviews them as separate checks even when a seller submits them together.

Understanding that distinction is what shaped how we prioritized the paperwork before ever opening a case, not the order Amazon happened to ask for things, but the order the underlying questions needed to be answered in.

Knowing which document proves which fact, and holding back the ones that wouldn’t mean anything yet, is what kept the case moving instead of stalling on unnecessary back-and-forth.

Context

Old barcodes, new ASINs, one goal

A seller had two product lines that had been listed for over a decade, each using UPCs bought secondhand rather than issued directly through GS1.

Over time, Amazon ran a barcode check on active listings, and some got flagged.

To fix it, the seller created brand new ASINs using proper GS1-issued UPCs, thinking they could merge the old with the new ones to replace them going forward.

At that point, nothing about the request looked unusual, since it was the same product, same packaging, same manufacturer, only the barcode had changed. So the seller came to us with what seemed like a simple ask:

1. Align the backend data between the old ASIN and the new one

2. Submit the merge

3. And let the new ASIN inherit the reviews the old one had built up.

But before we could even get to that step, we needed to check whether the two listings actually matched on the backend, since Amazon requires several fields to align before any kind of merge is possible.

So our first review focused on attributes that appeared mismatched, such as model number, product description, number of items, part number, and UPC, since inconsistent data is the most common visible reason a consolidation request stalls.

Correcting those seemed like the obvious next step.

There was also something further back worth noting. At some point earlier in the product’s life, the original ASIN had been sold by Amazon itself, as a first-party vendor, alongside the seller’s own sales. That detail did not seem relevant at the time. It became the actual center of the case once we dug into the backend, which is where this story diverges from what everyone expected.

Note: When Retail holds contribution rights on an ASIN, that ASIN cannot be consolidated or deleted through any seller-facing process, regardless of how clean the attribute data becomes.

Diagnostic

Why the merge was never possible

Amazon’s self-service merge tool only works when both ASINs are true duplicates, meaning the UPC, brand, specifications, and every product attribute match exactly. Since the new ASINs existed specifically to carry a corrected, GS1-issued UPC, they could never match the old ASINs on that single point, and Amazon’s system does not make exceptions for “close enough.”

They were like two really similar products in Amazon’s eyes.

Knowing that, we still aligned every other attribute Amazon checks during a merge evaluation: model number, product description, number of items, part number, so that if there was any flexibility on the identifier requirement, nothing else would stand in the way.

That work turned out to matter later, just not for the reason we expected.

That is where the detail from earlier mattered, because since Amazon had sold the original ASIN as a first-party vendor at some point, Amazon’s catalog kept a separate record marking that listing as one Amazon itself had contribution rights to.

And when that record exists, the ASIN’s attributes cannot be consolidated or deleted through any seller-facing process, no matter how clean the attribute data becomes.

That meant that this case sat outside the standard merge checklist entirely, since it turns into an ownership issue instead of a merge one.

So, with both the identifier mismatch and the ownership record working against a true merge, we had to find whatever legitimate gap Amazon’s system allowed.

The good thing is that Amazon states that ASINs grouped into a variation family keep their reviews attached individually. In practice, the live product page shows one combined review count for the entire family, not separate counts per child ASIN. That gap, between what the policy says and what the page actually displays, is what lets us protect the seller’s review history without “needing a merge” at all.

Though Process

Finding what Amazon actually allows

The seller wanted one thing above everything else, keep the reviews, keep selling under the new GS1 codes, stop selling under the old ones. The word “merge” was just the label the seller used to describe that outcome, it was not actually the only way to get there.

We had to rule things out one at a time before we could see the real answer.

First, could this qualify as a duplicate resolution, Amazon’s actual name for what most sellers call a merge.

No, because that only works when both ASINs share the exact same identifiers, and these did not, on purpose, since the whole reason the new ASINs existed was to fix a bad identifier.

Second, could Amazon just force a merge anyway?

No, because Amazon Retail had a claim on both original listings, and nothing a seller does can override that. So two paths closed, in that order.

Once both were closed, we asked a simpler question.

What does the seller actually need, not what did they originally ask for? They needed the reviews visible, they needed the new ASINs live, they needed the old ones gone from the customer’s view without deleting the review history attached to them.

A variation family gave us all three. It let the old ASINs stay in the system, marked out of stock, while the new ASINs became the ones customers actually see and buy.

The only thing standing in the way after that was a small rule: two ASINs in the same variation family cannot share the same color attribute. That was solvable in one conversation with the seller.

Once that was fixed, every requirement from the case, keep the reviews, retire the old SKUs, sell under the new ones, was met, not through a merge, but through the one tool Amazon actually makes available for this exact situation.

Context

UAE business location blocked the US account

The seller operated a business registered in the UAE and used that entity to open a Seller Central account in the United States. At the time of setup, the information matched, the documents were valid, and the account was approved, to the point where they even sent inventory to FBA.

Then the account was suspended.

All of this was related to the fact that the seller had since incorporated a US-based LLC and needed the account to reflect that entity. The old UAE registration number was no longer valid, and the business details had to be updated to match the new US incorporation.

That update required changing the Business Location field.

As we would all expect in this kind of scenario, the seller assumed the issue was limited to the US.

It was not... and the verification failure was originated in the Canada marketplace, where the same identity fields were locked and could not be edited through Amazon.

Here is where the case broke down. If any seller navigates to their Account Info page, opens the “Business Information” section, and clicks on “Business Location” or “Country of Origin,” that field will always appear grayed out. It is non-editable by design.

During account creation, Amazon explicitly warns that this field cannot be changed and instructs sellers to review it carefully before continuing.

So no, this was not a bug, the fields are read-only, so any escalation paths were slow, and the identity verification team operated on its own timeline, disconnected from standard Seller Support.

The seller assumed this was a documentation issue, something that could be resolved by uploading the correct identity documents. In reality, no amount of correct documentation could fix the account, because the system would not allow the underlying field to be updated. Every document submission was evaluated against a country that no longer matched the seller’s actual business entity, and every submission failed as a result.

In addition to the account being suspended, inventory remained in Amazon’s fulfillment centers.

So Monthly Inventory Storage Fees continued to accrue on every unit, and the seller had no ability to sell through the inventory to offset those costs. The suspension also restricted access to the tools needed to create removal orders, meaning the seller could not retrieve the inventory either.

Every week the case remained unresolved, the financial exposure grew, not because of a policy violation, but because of the compounding effect of time and restricted access turning one marketplace error into an ongoing cost in another.

Diagnostic

The business location field could not be edited

The identity verification system on Amazon operates through what is internally referred to as the SIV (Seller Identity Verification). This lies beneath Seller Central’s visible UI and determines whether a seller’s documentation meets the platform’s compliance thresholds across all marketplaces in a region.

In this case, the seller’s North American account was unified, meaning the US, Canada, Mexico, and Brazil marketplaces shared a single identity verification state.

When the system detected a mismatch between the submitted business documents and the registered Business Location, the entire regional account was affected. The suspension notification appeared only in the US, leading the seller to believe the problem was local to that marketplace.

The root of the issue was the Business Location field itself.

From the seller’s perspective, the UAE entity was no longer the operating company, and the US-based LLC replaced the previous one, and the account needed to reflect that reality. But the system had no path for this kind of update, so the verification process kept evaluating the seller’s US documents against a UAE registration, and every submission failed because the country did not match.

On top of the locked Business Location, the Company Registration Number and Primary Contact fields in the CA marketplace were also frozen at the UI level.

This is a known behavior when Amazon’s backend has initiated a verification cycle, the system locks fields to prevent mid-review changes, but it does not communicate this to the seller. The result was a state in which the seller was asked to update information the system would not allow them to update.

We had seen this exact pattern once before, roughly two years prior. In that case, we managed to get the Business Location field unlocked through an escalation to Amazon’s Executive Relations Team. We did not know exactly how the associate on that case accomplished it on the backend, but we knew it was possible. That precedent shaped our entire approach.

Though Process

Why standard support could not fix the account

When the seller first mentioned the possibility of opening a new account under his US-registered LLC, we did not pursue that path, but opening a second account while the first is under suspension creates a direct association risk, since Amazon’s systems are designed to detect related accounts, and if the new account is linked to the same individual or business entity, both accounts may be permanently terminated.

The instinct to start fresh is understandable, but doing so in this context would have made things worse.

But the real decision point in this case was recognizing that the standard support structure could not help, because we contacted every available channel:

• Account Health

• Seller Support

• Specialist Support

• and requested escalations to the SIV team.

Every team followed their SOPs. Every SOP said the Business Location field could not be changed.

So every agent was correct to refuse, because that is exactly what their internal documentation instructed them to do.

The question was whether a mechanism existed above the SOP layer that could override the restriction. We believed it did, because we had seen it happen once before.

Roughly two years prior, in a different case with the same constraint, we escalated to the Executive Relations Team, and an associate on that team managed to reset the entire Business Information page, that is what gave us the confidence to pursue the same path here, even after every other channel had closed its door.

After the US verification succeeded, we recommended the seller not attempt to resubmit identity verification in Canada. The US and CA marketplaces share a verification layer, and a new rejection in CA could have destabilized the recently approved US verification. The risk of losing what had just been recovered outweighed the benefit of gaining access to a secondary marketplace the seller did not plan to use.

When the comparison itself is the defect

A seller came to us with a Buy Box eligibility issue on one ASIN, a 15-count item box sold on Amazon.

In general, when this type of issue happens, we all know the drill: adjust the price, wait for the system to recheck, move on.

What made this case different was where the comparison price was coming from.

Because the seller also sold a smaller version of the same product, a 4-count box, through their own website and through another external retailer.

But for some reason we will never know, Amazon’s Competitive Price engine pulled the per-unit price from that smaller pack, then applied it as if it belonged to the 15-count version.

What we understand from this context is that when products share a name, a formula, and a brand, Amazon uses that information to correlate them.

But in terms of the system, what would be easy to assume that was a repricing problem, was actually a catalog matching problem where the system was treating two different SKUs as economically equivalent when they were not.

Diagnostic

The comparison outranks the actual price

Amazon’s Featured Offer eligibility depends on a Competitive Price signal from external retailers, and the Manage Inventory page reflects this with a Pricing Status column and a Match button.

That interface in the Manage Inventory page is the only thing that tells the seller whether the current price is considered competitive, but it does not show which external listing generated the comparison or whether that listing represents the same product.

This makes the backend of your listing the second-in-charge of what represents your listing, while the reference that Amazon uses to compare becomes the first.

And that makes more sense when you learn that Amazon’s system identifies external prices for what it determines to be a matching product, then applies that price at face value against the ASIN, without normalizing for unit count first.

Which is exactly what happened in this case.

The system treated the smaller version’s price as the relevant benchmark for the larger version, which made the Amazon listing appear overpriced by a wide margin, even though the price itself was accurate.

But since the ASIN was configured correctly, and the price was correct for the product it represented, the failure sat in the layer that decides which external listing counts as equivalent, a layer the seller never has direct visibility into.

Though Process

Why we did not just match the price

The fastest option on the table was to lower the Amazon price to match what the system flagged as competitive, and in most cases that would have closed the gap within a day.

But we set that option aside, since the reference price belonged to a different set of the product, so matching it would have meant pricing the larger version as if it were the smaller one, permanently.

Luckily enough, Amazon’s Fair Pricing Policy is written for a specific scenario, where the same product is sold at different unit counts, priced inconsistently on a per-unit basis.

And this case sat outside that scenario, the two configurations were distinct products, not the same item scaled differently, which meant the policy itself did not apply the way the system had applied it, and that was a point we could use on our favor.

That distinction became the basis for the solution process, because rather than adjusting the price, we built a record showing the Amazon price already reflected fair market conditions, supported by the seller’s own pricing elsewhere and the ASIN’s sales history over time. A system enforcing a rule against the wrong comparison responds to proof, not to a lower number.

Context

The seller had the EPA number

A seller reached out about a regulated product, an EPA registered herbicide, that Amazon had flagged under its restricted product policy violations.

The flag itself was reasonable.

Amazon classifies herbicides as pesticides under FIFRA, the federal law governing these products, so every such listing must carry EPA data in a dedicated attribute called Pesticide Marking. A listing that lacks that data is treated as prohibited by default, which is exactly the state Amazon read on this ASIN.

The thing is, the seller was not missing any credentials.

They held a valid EPA registration number, the numerical identifier Amazon requires, plus an establishment number, the alphanumeric code tied to the manufacturing site.

The problem appeared at the moment of entry, the Pesticide Marking field where that data belonged was no longer visible in the listing editor.

Working from that, the seller assumed the update had to be pushed through a flat file, which was a fair read, since flat files often surface fields the interface does not render.

That logic held until we looked at where the field’s visibility was actually being decided, and the cause sat in the backend record, not in the editing method.

Diagnostic

Amazon hid the field

The first thing we did was read the violation notice against the policy it came from, not against the listing.

The notice traced back to Amazon’s restricted product policy, which exists to keep unsafe or non-compliant products off the marketplace and places the burden of compliance on the seller before listing.

Related to that policy sits a specific section for pest control products and pesticides, governed by FIFRA, and that section is where the product fell.

That section is unusually precise about what compliance looks like.

The policy is direct about this. A pesticide listing has to show a valid EPA registration or establishment number in the Pesticide Marking attribute, and a listing missing that information counts as prohibited on its own.

So the violation was not about the product, it was about one empty field.

That pointed us straight to the EPA data, not anywhere else on the page, so we checked how that value was stored in the backend and found a faulty entry on the EPA attribute, one that did not match the format Amazon expected.

The field itself was fine at the category level, and similar listings still offered it, so the category was not the problem.

The trouble was specific to this record. Amazon could not make sense of the stored value, so it hid the field instead of showing a broken one, which is why the seller saw the violation notice but never saw the field that would clear it.

Though Process

The category wasn’t the issue

We did not start with a flat file upload.

Because pushing the same EPA value into a backend that was already rejecting it would have repeated the conflict rather than resolving it. We were also careful about where that value would land, because field placement carries its own risk on pesticide listings.

EPA data has exactly one correct home, the Pesticide Marking attribute.

When the same information is scattered into other unrelated fields, Amazon’s automated systems can read the listing as incorrectly formatted, since the compliance data is no longer where the schema expects it to be.

Worse, it can create an apparent contradiction, one field seems to affirm the EPA compliance that the Pesticide Marking attribute reports as missing, and that mismatch is the kind of signal that enforcement models treat as a malformed or untrustworthy listing.

So a blind flat-file push risked writing the value in the wrong place and producing exactly that conflict.

So we held off and looked at the category next.

Before treating a category misassignment as the cause, we compared the ASIN to peers in the same category, and those peers still carried the attribute option. That single comparison ruled the category out and pointed us toward a record level conflict on this specific listing.

Once the cause was isolated, the correct lever became clear.

The attribute did not exist on the seller-facing side, so neither the Edit Info page nor a flat file could access it, and the fix had to be implemented in Amazon’s backend with the help of a specific Amazon team.

This edition is a little different.

Have you ever tried to fix a simple typo on your own Amazon listing, only to be completely blocked by the system? It is incredibly frustrating to feel like a total stranger to the product catalog and the brand you built from the ground up.

Today’s edition explains why.

The answer sits inside Brand Registry, the system Amazon uses to determine who controls a brand’s catalog record and whose edits the platform is willing to trust.

Context

What’s Brand Registry?

Amazon Brand Registry is a free program that gives brand owners control over how their brand shows up across the Amazon catalog, it works one step up from individual listings, connecting your verified trademark to your brand’s master record, so you can control who makes changes, protect your intellectual property, and unlock brand management tools.

It sits above your individual listings at the account level.

A seller who wants to make catalog edits is first sent through a trademark match check, which has nothing to do with the products themselves.

So what does a seller need to get in?

You qualify when your brand holds an active registered trademark, or a pending application in a supported office, or a pending application through IP Accelerator, in each country where you want to enroll, and you also need to be able to reach the trademark contact, since Amazon sends the verification code to the person listed on the record.

Note: The trademark you submit has to include text that matches your brand name, either a word mark or a logo with words, letters, or numbers in it, text-free logos can be added only after enrollment.

Once you are in, here is what changes at the catalog level.

That connection gives you access to a set of brand management and enforcement tools, like:

• The right to edit the master record,

• The Report a Violation tool to chase down IP abuse,

• And a path into A+ Content, Storefront, and Sponsored Brands

Without enrollment, your account edits the catalog as one voice among many, with little say over the brand record and no access to brand-only tools, with it, your account becomes the trusted owner of that record, and Amazon adds extra protection to the products tied to it

Implication

How Amazon decides whose edits win

That control I mentioned becomes clearer once you understand how Amazon decides whose edits actually win.

Amazon’s catalog runs on a contribution hierarchy in which every contributor has a score from 0 to 100, and the highest score always wins.

Here is how those scores break down:

• 30 points, sellers without Brand Registry, with the Catalog Team sitting above them

• 52 points, sellers with Brand Registry, with the Brand Registry Team sitting above them

• 52.1 points, the Amazon Data Augmenter

• 60 points, vendors, with the Retail Team sitting above them

• 100 points, Amazon internal teams

On Amazon each listing attribute, the title, the brand name, the bullets, and the images, has a single authoritative owner.

So when two contributors submit different values for the same field, Amazon resolves the discrepancy based solely on score, taking the higher value and automatically rejecting the other.

Think of your listing as a leaderboard, if you are not the highest score on a field, you are locked out of it.

This is why the jump matters, enrolling lifts you from 30 to 52, and that climb is what puts your edits above the open catalog, the points you earn through Brand Registry are the points that let you protect your business.

How to enroll without triggering unnecessary rejection

Once we know what this program is about and what it takes for the system to consider you “relevant,” we come to the practical question: if this is the system, how do you actually secure that position without getting stuck along the way?

Have these in place before you submit:

• A trademark that is active and registered, or pending in a supported office, or pending through IP Accelerator, in each country you are enrolling. This is the proof of ownership Amazon starts from.

• A trademark in word-mark form, or design-mark form with words, letters, or numbers, with text that matches the brand name you will enter.

• The brand name ready in its exact form, same capital letters, spaces, and symbols.

• The correct trademark office identified, the one where the mark is actually held.

• The registration or serial number copied exactly from the certificate or receipt, with word spacing preserved.

• Ownership proof that fits your situation, direct ownership, an authorization letter, or a licensee agreement, with the document ready to upload.

• At least one product category chosen, plus every category that applies, based on the goods and services listed on the trademark.

• At least one real, unedited product photo showing branding built into the item, matching the exact trademark name, in jpg, png, or gif, under 5 MB. This is your proof the product is real.

• A recent supply or manufacturing invoice from the last 6 months showing a brand name (pricing could be hidden)

• Your relationship with the brand, seller, vendor, or neither, and the 5-character vendor code on hand if you are a vendor.

• Access to your trademark contact, so you can get the verification code back within 10 days.

Context

The seller had authorization, inventory, and invoices. Amazon still rejected the application.

The seller held an active supply relationship with a legitimate pet food brand, had inventory, a letter of affiliation, and direct contact with the brand’s team. The logic was straightforward: provide the documents, request approval, and get ungated in the Canadian marketplace.

That logic was not wrong in principle.

It failed because Amazon’s ungating review process does not evaluate the commercial reality of the relationship.

It evaluates whether the documents submitted match a narrow, internally defined pattern. Each field on an invoice, each name on a letterhead, each payment term notation is read as a data signal, not as context.

The seller’s invoice carried the brand’s logo with a shortened version of the brand name, the full legal company name appeared only in the footer, and the payment terms included language that Amazon’s system associates with pre-transaction documents rather than completed purchases. The letter of affiliation existed, but did not address any of these discrepancies in writing.

From the seller’s side, these were minor formatting issues. From the system’s side, each one was a reason to reject without further review.

Diagnostic

The exact signals Amazon flagged on the invoice

Amazon’s ungating process for branded categories does not begin with a human reading the documents.

It begins with a structured validation pass that checks for specific signals: the supplier name must be consistent across all document fields, the payment terms must reflect a completed transaction, and the issuing entity must match the brand identity as registered in Amazon’s catalog.

When any of these signals conflict, the application enters a rejection state before escalation pathways become available.

In this case, two signals failed simultaneously.

The invoice logo displayed an abbreviated version of the brand name, while the footer displayed the full legal entity name, and Amazon does not resolve that ambiguity in the seller’s favor.

The second failure was the pro-forma notation in the payment terms field. Pro-forma invoices document a proposed transaction, not a completed one.

Note: Amazon’s policy explicitly excludes them, and the system treats that language as disqualifying regardless of what other fields on the document say.

These are not judgment calls made by a reviewer. They are schema-level checks, and that distinction matters because no amount of context, explanation, or additional documentation resolves a schema failure unless the document itself is corrected first.

Only after the documents were corrected and the letter of affiliation was updated to address the name discrepancy in writing did the application enter a state where escalation could produce a result.

Why we refused to escalate after the second denial

The first instinct in a case with multiple denials is often to escalate immediately.

That instinct is understandable, but it applies pressure to a system that has not yet received valid inputs.

Escalation routes a case to a human reviewer, who still evaluates the same documents, so the result would be the same.

If those documents contain a pro-forma notation or a name inconsistency, the escalation produces the same result as the standard submission, with the added cost of having used the escalation channel before the underlying issue was resolved.

The decision here was to hold the escalation until the documents were corrected. That meant going back to the brand twice: once for a corrected invoice and once for an updated LOA that addressed the logo and name relationship in writing. Only after both documents were in a form that could pass schema validation did we initiate the escalation sequence.

This sequencing matters because escalation is not a retry. It is access to a different review layer, and that layer has limited tolerance for repeat submissions with the same structural problems. Using it correctly means arriving with documents that have already resolved every known failure point.

Context

When a UPC correction leaves invisible residue in the catalog

A seller contacted us after receiving a persistent matching error on their product ASIN. The SKU in question had been tied to the listing with a specific UPC at the time of original catalog creation, and at some point after that, the UPC associated with the ASIN was updated to a new identifier, with the ASIN itself reflecting that change on the surface.

The seller’s assumption was straightforward: the UPC had been changed correctly to a GS1 barcode, the catalog record reflected the new value, and the listing should have behaved accordingly. From the Seller Central interface, there was no visible indicator that anything remained out of alignment. The ASIN page showed the updated UPC, the product title and variation structure appeared intact, and there were no suppression flags visible in the standard inventory view.

What the seller did not have visibility into was the backend of the catalog, where contributions are stored independently from what appears on the product detail page or inside the “Edit Listing” in Seller Central.

The original UPC contribution remained attached to the SKU even after the visible catalog record had been updated. As a result, the system held both the current identifier and a residual contribution associated with the original listing creation.

When the system processed a new attempt to match or relist the SKU, it encountered conflicting UPC contributions associated with the same SKU and returned a matching error rather than resolving the discrepancy on its own.

Diagnostic

How a retained UPC contribution created a matching error

Amazon’s catalog operates in layers. What a seller sees in Seller Central, the product detail page, or the Manage Inventory grid represents the rendered output of a catalog that stores contributions separately from what gets displayed. When a UPC is updated on an ASIN, the visible record changes, but the contribution tied to the original SKU does not automatically overwrite the old one.

In this case, the SKU was originally contributed with UPC A. The ASIN was later updated to reflect UPC B, while the backend continued to hold UPC A as an active contribution associated with that same SKU identifier.

When the system evaluated a new listing attempt or matching request, it continued recognizing the retained UPC contribution associated with the SKU, resulting in a matching error.

What makes this case even more interesting is that the SKU was not active in the seller’s inventory at the time of the error. That removed the standard deletion path from consideration. Normal deletion requires an active offer, and without it, the standard inventory management tools do not surface the SKU as a removable object, leaving the residual contribution embedded in the catalog without an obvious interface-level mechanism to clear it.

The distinction that matters here is between the ASIN record and the SKU contribution. The ASIN is a catalog node. The SKU is a seller-specific offer record that carries its own set of contributed attributes. Updating the ASIN does not automatically remove or replace every contribution historically associated with the SKU.

Thought Process

Why standard deletion and flat file updates were ruled out before escalating

The first instinct in a case like this is typically to delete the SKU and relist it. This path works when the offer is active because the deletion removes the offer record and, in most scenarios, clears the associated contributions.

But in this case, the SKU was not active in the seller’s inventory, which meant the standard deletion flow did not apply, and there was no offer to delete through the Manage Inventory interface.

Submitting a new flat file with updated UPC data was considered as an alternative, but a partial update would not have been sufficient. Partial updates modify specific fields without replacing the full contribution set, and in a conflict state where multiple UPC values are already associated with the same SKU, a partial update risks adding another contribution rather than resolving the existing conflict.

A Full Product Update addresses more of the contribution layer, but it still assumes that the underlying contribution records are in a state that can be overwritten. In this case, the issue was not the current UPC value itself, but the residual contribution data that remained associated with the SKU after the correction had already been made.

The evaluation led to a path that required addressing the residual contribution data before any relisting attempt was made. That is why Catalog Support involvement became necessary. The issue was not the visible listing itself, but the contribution history attached to the SKU.

The sequence mattered as much as the individual actions. Relisting before the residual data had been cleared would have reproduced the conflict, while attempting additional updates before addressing the underlying contribution records would have extended the resolution timeline.

The order of operations was determined by the structure of the constraint itself, not by trial and error.

A preventive categorization correction exposed a deeper variation issue

The seller had recently resolved an Invalid Variation Grouping violation on a child ASIN, a situation that predated our involvement.

Once that situation was behind them, their attention focused on other child ASINs within the same variation family that carried categorization inconsistencies.

Luckily, there was no active suppression, no open enforcement action, and no immediate consequence.

The correction was initiated as a preventive measure, with the expectation that aligning categorization attributes across all children would reduce the risk of a future violation similar to the one that had already occurred.

The seller’s logic was straightforward: if one child had already triggered a violation due to categorization inconsistencies, leaving other misaligned children unchanged would create the same exposure elsewhere in the variation.

What nobody anticipated was that completing the correction would prompt the seller to look more closely at the variation family as a whole and, in doing so, discover a structural gap unrelated to the categorization work itself.

Diagnostic

Amazon can accept an invalid variation and flag it later

To understand this case, you must first know that Amazon’s catalog allows variation families to be created through inventory file uploads, the system applies validation at the moment of upload but the validation process doesn’t always align with the logic, making the whole system imperfect.

Even more important, a variation with inconsistent grouping attributes can pass the initial check and go live, so the listing appears active, the parent-child relationship displays on the detail page, and, from the seller’s view, the structure looks correct.

While in the background, compliance monitoring systems continuously scan the catalog against a stricter standard.

These systems evaluate grouping attributes across all children in a variation family and verify that they are identical.

The attributes that determine whether a grouping is valid vary by category, but they include:

• Brand

• Manufacturer

• Item form

• Categorization attributes, specifically: product type, browse node, and item type keyword

But when an inconsistency is detected, the system can separate the variation and issue a violation, even if the original upload was accepted without error.

This is what produced the prior violation on one of the child ASINs: the variation was created with inconsistent categorization attributes, the upload passed, and the compliance monitoring caught it afterward.

The child ASIN in scope for this project was in the same structural position, part of a live variation, but carrying different categorization attributes than its siblings.

Correcting the categorization without breaking the variation

The scope of this case was narrow from the start: two child ASINs carried categorization attributes that did not match the rest of the variation family.

The question was not whether the inconsistency existed, but how to correct it without introducing a new structural issue in the process.

The first judgment call was deciding where the correction should occur.

Changing categorization attributes is no longer as straightforward as submitting a catalog contribution. In many cases, those attributes are controlled by Amazon’s internal catalog systems, meaning the challenge is often obtaining approval for the correction rather than identifying the correct values.

That made it important to distinguish between a categorization problem and a variation problem.

Before selecting the correction method, the inconsistent attributes had to be confirmed with precision, and there were four ways to obtain that data. If you read the Case #019 solution, you will see that those steps are used to retrieve the data, which often determines whether a case moves forward or stalls at the diagnostic stage.

The second judgment call came after the correction was confirmed.

The seller flagged a separate ASIN as missing from the variation family and assumed the work had caused its absence, but before any further action was considered, the first step was to verify whether that ASIN had ever been part of the family.

It had not, so the gap was pre-existing, and adding it to the variation required its own evaluation, separate from the work already completed.

Context

When the catalog belongs to someone else

A 3P seller, authorized by a major supplement brand through Brand Registry permissions, was tasked with reorganizing four variation families in Seller Central.

The thing was that the brand owned the parent ASINs through Vendor Central, and the child ASINs had been removed from the brand’s Vendor Central catalog due to chargeback disputes, so the seller was given permission to rebuild the variation structure from their 3P account.

The initial logic was sound: identify the correct variation theme, dissolve the existing families, and recreate them using flat files with the updated theme. The seller had done this before, the brand had authorized the work, and the ASINs were active products with existing catalog records.

When they started working on it, the problems started.

The first issue appeared immediately: the variation theme on the existing parent could not be edited through any standard Seller Central workflow.

The second issue was structural: the parent ASINs were not in the seller’s inventory because they were created and owned by the brand’s Vendor Central account. Since a 3P seller cannot dissolve a variation family built on a parent they do not control, a specific Amazon team must intervene and orphan the children first.

While that process was underway, a child ASIN connected to the first family became unbuyable, without any suppression, policy flag, or account health signal to explain it.

The dashboard said it was active, while the detail page said otherwise.

Diagnostic

The system that shows is not the system that decides

Variation themes can be updated via flat-file submission or through Seller Support under normal circumstances, but in this case, the existing parent could not be modified on Seller Central, and the dissolution required intervention from a specific internal team.

Because a Parent ASIN created through Vendor Central has an ownership record separate from any 3P Seller Central account.

This means that a seller with Brand Registry authorization can contribute to child ASIN attributes, but they cannot dissolve or recreate a variation family built on a parent they do not own in their own account, and the severance of those child-parent relationships has to originate from the account that created the parent.

Separate from the variation structure problem, one of the child ASINs stopped being purchasable during the project, with no suppression notice, no policy flag, and no account health alert to indicate why, the listing showed as active in Manage Inventory and the detail page loaded normally, but the Buy Box and the purchase option were gone, even if the price or in the category had not changed, and no external factors like a different pricing on another website explained the disappearance.

That is why it is worth knowing that losing the Buy Box is not always a pricing problem, there are cases where the cause sits entirely at the attribute contribution level, and what Seller Central shows as “Active” only means the listing exists in the system, it does not mean every required attribute has been accepted, and a listing can be active and unbuyable at the same time.

Thought Process

What the system allows, not what seems logical

The first instinct was to update the variation theme through a support case or flat file on the existing parent, the brand had authorized the changes, the seller had catalog access, and the accounts were properly linked, so updating the theme seemed like a straightforward request, those paths exist and work under normal circumstances, but in this case every submission from the Seller Central side failed to move the structure, and the dissolution could not be executed without the Amazon internal team intervening at the Vendor Central level.

The same constraint applied to the authority over the parent record, submitting a flat file that references a parent ASIN is not the same as having the system accept that submission, and when the parent originated from Vendor Central, no action from the 3P account was enough to restructure it, the change had to come from the team that owned that record.

When the child ASIN became unbuyable with no visible suppression, the case itself provided the next direction, and it guided us to check the all visible content on Seller Central to know if something wasn’t matching with the product, after checking everything returned clean, which meant the problem was not something the UI was reporting on, it was happening at a layer below what dashboards surface, and that layer is only reachable by reviewing which required attributes had been submitted and whether the backend had accepted or rejected each one.

This is where the Unit Count and Unit Count Type attributes were identified as the failure point, those are required contributions for supplement listings, and when the values were submitted in a format the backend rejected, the system blocked the contribution without surfacing any alert, the account-level record stayed intact, and the Buy Box disappeared because the catalog contribution had failed at a layer the dashboards were never designed to report on.

Context

When the checklist passes and the system refuses

A seller in the health and beverage category had been unable to access deal recommendations for almost a year, including all major promotional windows: the Big Spring Sale, Prime Day, and Black Friday/Cyber Monday.

After checking, we found that the seller rating was 4.7, most ASINs were above the 4-star threshold, account health metrics were within normal range, and Amazon’s own sales dashboard had flagged the brand as showing steady growth with a healthy business presence.

The original assumption, shared by both the seller and the team at the start of the engagement, was that a specific, identifiable eligibility criterion had been overlooked.

Like something in the catalog or account configuration was blocking access, and once identified, it could be corrected, and that assumption was logical because the Deals Troubleshooter exists precisely to surface those gaps, and the account appeared clean on every front-end check.

The case did not resolve that way.

What it revealed instead was a structural condition that operators rarely encounter and are even less prepared to navigate: a backend quality designation applied to an account or brand that the seller cannot see, cannot directly dispute through Seller Support, and that Amazon’s internal teams will decline to override even after formal escalation.

Diagnostic

Two eligibility layers. One seller view.

Amazon’s Deals program operates across two distinct eligibility layers, presented to sellers as a single unified system, and the gap between the presentation and the reality is crucial to understanding this case.

The first layer is the published checklist, which the sellers should monitor, and the one that the Troubleshooter evaluates. It includes:

• Minimum seller account rating of 3.5 stars

• Minimum product rating of 4 stars

• Active listing status

• A validated reference price

• Compliance with fulfillment performance thresholds for seller-fulfilled orders

• and category restrictions that exclude entire product types.

When all these conditions are met, it is reasonable to expect that deal recommendations will appear in the Deals Dashboard.

The second layer is an internal quality scoring model that operates independently of the checklist, is not visible to the seller, and is not evaluated by the Troubleshooter.

Amazon applies this model at the ASIN level and at the brand level, drawing on signals such as sales history, review volume, star rating, and available inventory. The exact weighting of those signals and the threshold required to receive a recommendation are not disclosed. If the score falls below that threshold, no recommendations are issued, regardless of whether all published criteria have been satisfied.

Amazon’s policy documentation acknowledges this condition in a single sentence near the bottom of the product eligibility section, after the checklist has been presented:

“Even if they meet these criteria, some ASINs might not receive a recommendation due to additional factors.”

That sentence is the operative condition for a significant number of accounts that are denied deal access without a clear explanation, and it functions as a disclosure that the checklist is necessary but not sufficient.

In this case, the response received from Amazon’s internal team after escalation read:

“ASIN is not currently eligible for Deal Recommendations due to the ASIN (or Brand) being poor quality (low or not enough sales history, reviews, ratings, etc.).”

No specific metric was cited, no threshold was shared, and no comparison to the account’s actual performance data was included. The system returned a category label rather than a measurement, meaning there was no specific value to correct and no defined target to reach.

If your account is blocked from deal recommendations and the Troubleshooter returns a clean audit, the block is likely in the second eligibility layer.

Though Process

What the policy actually says versus what the interface implies

When we did the front-end audit, it all came back clean across all published criteria, and that result was itself diagnostic: a clean audit means the block is not in the published eligibility layer, which changes the direction of every subsequent action.

A standard response at that point would have been to open a support case requesting deal reactivation, but that path treats the Troubleshooter as the complete picture of eligibility, and the policy does not support that reading.

That closing sentence in the policy documentation (in the diagnostic), the one acknowledging that additional factors can prevent recommendations even when all criteria are met, reframes everything the checklist implies.

Passing the Troubleshooter confirms the account has not been disqualified on published criteria, it does not confirm that the backend has issued an invitation.

Once that distinction was established, the diagnostic question changed from “what requirement is unmet?” to “which layer is making this decision, and does that layer have an accessible appeal path?”

The response from Amazon’s internal team, a quality-flag label with no supporting metric, confirmed the block was in the second layer and that standard support lacked the visibility or authority to address it.

Context

A compliant product blocked by a policy

A seller listed a lime-based pest-control product under multiple ASINs on Amazon.

Let’s say, for example, that the active ingredient was citric acid and the inert ingredient was calcite. Both appear on the EPA’s approved list for minimum-risk pesticides under Section 25(b) of the Federal Insecticide, Fungicide, and Rodenticide Act (FIFRA).

Under that exemption, products formulated exclusively from approved ingredients are not required to obtain an EPA registration number, because the federal government has already determined they pose minimal risk.

The seller’s logic was sound, the product was compliant at the federal level, but California has its own pesticide oversight body, the California Department of Pesticide Regulation (CDPR), and it maintains its own criteria for minimum-risk pesticide exemptions, criteria that largely mirror the federal standard but are enforced independently.

The seller believed that federal 25(b) status was sufficient to sell in all states, including California.

Amazon’s system did not agree, and a compliance flag was applied to their ASIN, generating a state-specific shipping restriction that prevented the product from being purchased or delivered to California addresses.

Luckily, the restriction did not remove the listing entirely or suppress the ASIN nationally, it only targeted one state, through one policy trigger, enforced at the backend level.

Worth keeping in mind: The seller contacted Amazon Support and was repeatedly asked to provide an EPA registration number, even when the product does not have one, since it is exempt from registration (That exemption is precisely what the 25(b) designation means).

Diagnostic

Two systems, one product, no shared memory

A policy flag was applied to this ASIN, and that flag is the output of an automated compliance scan that cross-references product category signals, ingredient claims, and listing metadata against Amazon's internal pesticide policy framework.

When the scan identifies a product that appears to be a pesticide without a verifiable registration record, it applies a state-level shipping restriction for California, the state with the strictest independent pesticide oversight in the country.

The problem with Amazon’s compliance system is that it is designed to resolve pesticide flags through one of two pathways: either the seller submits an EPA registration number, or the product is not sold.

The 25(b) exemption creates a third condition that the automated pathway was not designed to accommodate. Exempt products are, by definition, not in the EPA’s registration database. So when the system queries for a registration number and finds none, it treats the absence as non-compliance rather than as an indicator of exemption status.

This is not a policy error in the traditional sense, because the system is operating as designed. The design simply does not account for the regulatory category this product falls under.

The most disorienting aspect of this case was that the system was asking for something that could not exist.

A 25(b) exempt product does not have an EPA registration number. Submitting one is not possible. Explaining that it is not possible through standard Seller Support channels yielded no result because the support workflow was built on the assumption that every pesticide either has a registration number or is non-compliant.

The decision not to continue engaging through standard support channels after the first two failed attempts was deliberate. Each additional case opened through the standard pathway consumed time, generated a paper trail of unresolved tickets, and trained the system to associate the ASIN with repeated compliance inquiries that went unresolved. Continuing that approach would have increased the risk of a broader enforcement action.

The escalation had to reach a team with the authority and the regulatory literacy to understand what a 25(b) exemption means in practice.

That team is Amazon’s Restricted Products Legal team. It cannot be reached through a standard support ticket. It requires a specific escalation path, precise framing of the regulatory argument, and documentation that shows the ingredients are individually approved under the EPA’s minimum-risk criteria.

The decision to lead with product images rather than written regulatory arguments was also intentional. The legal team cannot register a product or override a policy based on a seller’s claim of exemption.

They can, however, review label images and cross-reference the visible ingredient list against the EPA’s published approved ingredients.

Context

A brand-exclusive listing, flagged externally

A listing lost Featured Offer (Buy Box) eligibility after Amazon applied high-price suppression based on a lower external competitive price it detected elsewhere, even though the seller had maintained the pricing for years, discounting only during peak events.

The seller behind the listing was a registered brand owner operating a single-channel business.

The thing is, the product existed only on Amazon, with no authorized third-party sellers and no presence on any other retailer, the catalog record was clean, the brand was registered, and the pricing history was stable.

From the seller’s perspective, the logic was sound: if you sell exclusively on one platform, no external competitive price can exist for your product. The assumption was that Amazon’s pricing algorithm would have nothing external to compare against, and the listing would remain fully eligible for the Featured Offer without interruption.

The seller contacted Seller Support and the Brand Registry team before reaching out to us, but neither channel was able to resolve or escalate it effectively. When the case came to Online Seller Solutions, the competitive price restriction was active, the Buy Box was suppressed, and no evidence package had been prepared.

Over the course of the engagement, the competitive price restriction was removed, reappeared at $6.70, was removed again, reappeared at $4.40, and was removed a third time.

The algorithm does not verify exclusivity

To understand why this became a problem, we first need to understand how Amazon’s Fair Pricing Policy operates: if a product is available for less elsewhere, the Amazon offer must be competitive (equal to or lower than) that external price.

The enforcement mechanism is a high pricing threshold, a system-applied ceiling that blocks the Featured Offer (Buy Box) when the seller’s price exceeds Amazon’s fair market price estimate based on external data.

The threshold is set automatically by an algorithm that scans external retail sources.

It is also worth knowing that the algorithm does not check whether the seller authorized those external offers, whether the brand sells exclusively on Amazon, or whether the detected external listing is for a new, used, or counterfeit unit.

It detects a price, compares it to the Amazon offer, and enforces the policy if the gap exceeds its tolerance.

In this type of case, Amazon does not disclose the specific source it used to establish the external competitive price, meaning the internal Pricing Team is the only channel with access to investigate whether the threshold was applied on valid grounds, while Seller Support and Brand Registry operate outside this authority and cannot intervene in pricing threshold decisions.

The critical separation here is between the catalog and the pricing enforcement.

Because at the end of the day, the pricing enforcement layer does not consult the catalog for ownership context. These are two independent systems, and a clean catalog record provides no protection against a pricing flag.

The recurrence pattern in this case, three separate episodes at three different price points ($6.26, $6.70, $4.40), confirms that removal does not suppress the algorithm, each time the algorithm detected what it considered a valid external reference price, it applied the threshold again automatically, plus the system has no memory of prior disputes, so everytime something like this happen is a reset.

The first instinct when a pricing threshold appears is to contact the general Seller Support team.

That instinct is understandable, but it leads to a dead end in this category of issue, because Seller Support does not have access to the pricing enforcement, and also their tools fall short because they only show the flag, but they cannot remove it, meaning that escalating through that channel consumes time and creates a false sense of progress.

The next instinct is to dispute the flag by explaining brand exclusivity.

It sounds 100% logical: if the brand owns the product and sells only on Amazon, no legitimate external offer should exist, sadly the system does not process that argument.

The Pricing team requires evidence, since brand ownership is a catalog attribute, and the pricing algorithm does not cross-reference it.

With that being said, the key evaluative question before acting is: what evidence exists that the price Amazon flagged is incorrect, and can that evidence be made visible through a verifiable external source?

If the answer is no, the priority is to build that evidence before submitting any appeal. Submitting without it does not accelerate the resolution; it closes the pathway.

Context

The Brand Registry assumption

The seller had an ASIN listed under Health and Beauty, this ASIN was part of a variation family of approximately 300 child ASINs, and for the record, the brand was enrolled in Brand Registry.

At some point, a third-party seller began pushing contributions into the backend of the listing, injecting content into attribute fields with no relation to the actual product. By the time the issue was identified, approximately 70 unwanted attribute contributions had accumulated in the backend across multiple fields.

The initial assumption was straightforward: Brand Registry provides catalog authority. If you are the brand owner and your contributions have a higher rating than any third-party contributions, the system protects the listing from unauthorized edits.

The seller had no indication that contributions were accumulating in the backend, the detail page appeared intact, the ASIN was active, ranking at position 12 within its variation family, and generating sales.

Diagnostic

How the system handles version transitions

The unusual aspect is that the attack did not originate in the US marketplace. A third-party seller submitted contributions from the Mexico marketplace through a flat file. Amazon’s catalog system recognizes the product as the same unit across marketplaces and treats the contributions as valid input to the shared attribute store.

What’s interesting is that the seller’s contributions carried a rating of approximately 30, which is below the brand owner’s contribution rating, and therefore addressable through a standard flat file submission.

This is the first layer of the problem: the catalog does not validate whether a contributor has authorization in the destination marketplace, it validates whether the contribution is structurally eligible to propagate.

The second layer is where the attack is compounded.

Because Amazon operates internal contributor types called data augmenters (automated systems that perform tasks such as translating content across language versions of a marketplace and/or adding “relevant data to listings). One of these augmenters, identified in the backend as “data-augmenter-asin-localization-mozart-us,” detected the Mexico-origin contributions and distributed them across 4 language variants of the US marketplace:

• Arabic

• Spanish

• German

• Portuguese

The contributions had already been written in multiple languages by the external seller, and the augmenter treated them as eligible catalog content and propagated each version to its corresponding language variant. The system performed its function correctly, it distributed the content it was given, but the content happened to be attribute-spam designed to trigger compliance flags, and that is what the augmenter amplified at scale.

The critical distinction is this: rated at approximately 50 to 60, the data augmenter’s contributions sit above both the third-party seller and the brand owner in the catalog authority hierarchy. Once the augmenter wrote those values to the attribute store, they could not be overwritten by a flat file submission from the seller account.

The seller’s contributions, even as Brand Registry owner, do not outrank an internal Amazon contributor type. Brand Registry provides authority over human contributions from external sellers, but it does not grant authority over Amazon’s internal contributors. These are separate layers of the catalog hierarchy, and they operate under different permission structures.

Of course the UI showed nothing like an error, but the backend held approximately 70 attributes containing content such as adult product terms, pesticide-related language, and sanctioned-origin product references.

These values had been added into fields with no relevance to the product like brake style, lens color, fabric type, scent, and furniture finish. The intent was to trigger an automated compliance review and either suppress the listing or force a policy violation.

How the decision was made

The first seller’s instinct in a case like this is to escalate directly with Seller Support and request removal of the fraudulent contributions. That path was evaluated and deprioritized for a specific reason: Seller Support does not have access to the SKU attribute remover for data augmenter contributions.

So, escalating would create a support case with no actionable resolution path for the highest-rated contributions.

The second instinct is to file a brand violation report through Brand Registry, but Brand Registry violations are scoped to external sellers making unauthorized edits, and the data augmenter is not an external seller. It is an internal Amazon system, which means the violation report routes to a team with no jurisdiction over that contributor type. The case would move, but nothing would change.

The correct evaluation required separating contributions by source and rating before selecting any action.

1. Contributions from the third-party seller, rated at approximately 30, were below the brand owner’s contribution rating, making them addressable through a flat file submission that populated every relevant attribute field with brand-controlled data, reducing the seller’s contributions to a lower-priority state in the attribute store.

2. Contributions from the data augmenter, rated at approximately 50 to 60, were above the brand owner’s contribution rating, so these required direct deletion from the backend through Catalog Support escalation.

The localized propagations required a separate line of work. Each of the 4 language variants held its own discrete contribution record in the backend, so each one had to be identified and removed individually by tracing back to the originating augmenter session.

Evaluating what the system can and cannot respond to before acting is what separates a resolved case from one that generates activity without outcomes.

The assumption that creates the gap

This brand had been operating on Amazon for several years, building a catalog of supplement products in liquid form, and when they decided to upgrade their line to capsules, offering the same formulations in a more convenient delivery method, they followed the standard launch process: new product, new ASIN, new listing.

The catalog looked clean from the inside, the new ASINs were live, the old ones were still generating organic traffic, and the brand was preparing to phase out the older format over time.

What they identified was not a problem in the traditional sense, since there were no errors to fix, no penalties to reverse, no performance issues to resolve.

What they recognized was a gap in the customer journey: across 44 products, each with an older and a newer version active in the catalog, a customer landing on any of those older listings had no visible path to the upgraded version of that same product.

The old detail pages offered no signal that a better version existed. The system was not going to create those connections on its own.

So the goal when they came to us was to complete a relationship that the catalog had not been asked to form yet.

How the system handles version transitions

Amazon’s catalog supports different types of relationships between ASINs, and understanding which one applies to a given situation changes the outcome significantly.

The most common relationship type sellers encounter is family variations. Variations group the same product when it comes in different sizes or colors. All of those options live on a single detail page, and the customer can switch between them without leaving the detail page. This structure works because the products are essentially identical except for their variant theme.

There is another type of relationship on Amazon called “Newer Version” relationship, which works differently, and the distinction matters. It is not for products that differ by size or color. It is for products where one is a genuine upgrade of the other: same core product, same function, same intent, but improved.

The two ASINs in this case remain as separate listings. Nothing gets merged. What the system adds is a visible module on the old detail page that tells the customer a newer version exists and points them directly to it.

The submission process reflects this separation. Inside Seller Central, there is no standard menu item for creating this type of link. Two paths exist for submitting the request:

• A dedicated widget at a specific Seller Central URL, which is the path used in this case.

• The second is through the Seller Assistant chat tool, also accessible within Seller Central, where the request can be submitted conversationally by providing both ASINs.

Both paths generate a Seller Support case behind the scenes, which Amazon’s team handles and closes within the expected window.

The qualification criteria require that both ASINs share the same function, quantity, type, and style. In this case, the format changed from liquid drops to capsules, and the system accepted the pairing without requiring additional justification, because the product continuity was clear from the catalog data.

How the decision was made

When both an older and a newer version of the same product exist in the catalog, the key decision is selecting the correct relationship type to represent that connection.

The core logic here was straightforward. The new capsule format was a genuine upgrade of the existing drop format: same formulation, same dosage, same intended customer, delivered in a more convenient way.

So a customer who had purchased the drops before, or who was browsing the older listing, was exactly the right audience for the new version. Creating a visible path from the old listing to the new one meant that existing traffic on the older ASIN could be directed toward the current offer, supporting sales of the newer product while naturally reducing reliance on the older format as inventory wound down.

The first question was whether a variation relationship could serve this purpose, and it could not.

Variations are designed for products that are identical except for a single attribute such as size or color. The drops and the capsules are not the same product in a different size. They are the same formulation in a different delivery format, which places them in a different relationship category. Treating them as variations would misrepresent the catalog structure and carry the risk of a policy violation.

The second consideration was whether submitting 44 ASINs simultaneously through a tool that generates Seller Support cases would create delays or trigger a review due to the high amount of ASINs in the request. Based on the outcome, it did not.

All 44 relationships were processed and live within 24 hours, with no rejections.

Context

When a seller tries to update their company country

A seller was moving his company from Estonia to Hong Kong. Same owner. Same brand. Same products. Just a different country of incorporation.

A seller’s account was suspended. Identity verification had failed. Amazon rejected his documents and asked him to resubmit. When he went back into Seller Central to fix his business information, two fields were completely grayed out: Business Location and Business Registration Number. He could not click them, type in them, or change them in any way.

This was not a surprise to Amazon. When you first create a Seller Central account, the platform warns you directly: “Business location cannot be changed. Please make sure the information is accurate.” Most sellers skip past it. It only matters when you actually need to change it.

The seller escalated. He went through Seller Support, Account Health, supervisors, advisors, and eventually the Seller Identity Verification team. Every single one of them gave the same answer: the Business Location field cannot be changed. There is nothing we can do.

They were not wrong. Amazon’s internal procedures say exactly that. Every associate who looked up this issue found the same documentation. The answer they gave was the accurate answer for the tools they had access to.

Why the field locks and which fields are affected

When you submit business documents for verification, Amazon seals two specific fields: Business Location and Business Registration Number. They go gray. You can see them but you cannot edit them. Everything else on the Business Information page stays open. Just those two.

The lock is intentional. It exists to prevent fraud. Once someone submits identity documents, Amazon does not want those core fields touched until the review is complete. The problem is that the lock does not lift automatically when the review finishes. It stays until someone with the right access removes it.

The problem for legitimate sellers is that this same lock applies regardless of why you need to make a change. A company restructuring, a failed verification that used incorrect documents, a country change tied to an asset sale: none of these cases are treated differently by the system. The lock applies, and the system’s own procedures confirm it is permanent.

No standard support associate has that access. Seller Support, Account Health, and the Seller Identity Verification team all operate under documentation that says Business Location is a permanent field. That is not a mistake in the documentation. It reflects reality for everyone working at that level.

The Executive Relations Team is different. They sit outside the standard support structure. Specific associates within that team can perform a full reset of the Business Information page. That reset removes the lock completely and reopens both fields for a new submission.

There is no public documentation that describes this reset. Amazon does not advertise it. The only way to reach the people who can perform it is through a specific escalation path.

Most of the situations described in this case start before the lock appears.

What to avoid before escalating

The natural first move is to contact Seller Support and escalate. This is worth doing, but it will not solve the problem. Seller Support agents work at the account level. They cannot access the verification record where the lock lives. When they say the field is permanent and suggest opening a new account, they are giving the most accurate answer available to them. They are not holding anything back.

Opening a new account is the most dangerous response to this situation. Amazon tracks connections between accounts: same owner, same brand, same bank details. When the system finds a new account linked to an existing one, it can suspend both. One locked field becomes two suspended accounts.

Running multiple open cases at the same time is also a problem. Each case creates a contact point in the system. When those contact points carry overlapping or conflicting requests, they can trigger review flags that slow everything down. One clear case at a time is faster.

There is an escalation path that reaches the team with the authority to perform this reset. It is not a fast channel. It opens a line of communication, not a guaranteed response window. Operators who treat it like a standard support ticket often stop following up too early, before the internal routing has had time to work. The response can arrive days or weeks after initial contact.

Hard Limit 001 — The Primary User That Couldn’t Be Removed

The primary user access was never supposed to happen the way it did. When a U.S. seller expanded into a new marketplace, they assigned a collaborator in India as a primary user (because the seller didn’t know at the time that the privilege couldn’t be revoked, even if they were the brand owner and account holder).

When the business relationship ended, the collaborator didn’t leave. They knew what they had, and based on written communications with the seller, they were using it deliberately. Full visibility into sensitive business data. Access to core account controls. And no intention of stepping away.

Every support case hit the same ceiling: without a verifiable abuse event meeting a specific internal threshold, Amazon had no basis to revoke ownership that had been correctly assigned.

The strategy shifted from reversing the structure to managing exposure. The U.S. case was kept deliberately open to preserve the escalation record. A parallel case was opened with India marketplace support, explicitly linking the two and framing cross-marketplace access as improper. The work became positioning the account for the moment a qualifying trigger appeared, rather than forcing an outcome the system wasn’t built to deliver.

The Hard Truth

Amazon treats global ownership as a stability anchor, not a flexible setting. More escalation doesn’t create more authority. There is a real ceiling, and recognizing it early is more valuable than pressing against it indefinitely. Who you grant control to matters more than how far you escalate a revocation later.

Hard Limit 002 — The California Fulfillment Lock Nobody Could Explain

Two consecutive inbound shipments were allocated almost entirely to fulfillment centers in California, and stayed there. No distribution across the network followed. The inventory concentration limited delivery speed, suppressed conversion, and produced roughly $40,000 in documented losses. The seller wanted to know why it happened and whether reimbursement was possible.

Amazon’s Fulfillment Flow and Transportation teams confirmed that allocation decisions are driven by internal capacity constraints, logistics planning, and demand signals, and that the platform does not conduct retroactive investigations into those decisions. A suboptimal allocation is not treated as an actionable error, regardless of how well-documented the downstream impact is.

The escalation confirmed the boundary, which itself had value. The seller could stop pursuing a reimbursement path that was never going to open and redirect energy toward forecasting adjustments, building an inbound strategy that assumes the network won’t always place inventory where you’d choose to place it.

The Hard Truth

Amazon’s fulfillment network is optimized for the system, not for individual seller outcomes. When those two things diverge, the platform’s logic wins. Appealing after the fact is not a reliable recovery mechanism. The only durable protection is building a strategy that doesn’t depend on it.

What a disbursement actually is

A disbursement is how Amazon pays you. Every two weeks, Amazon closes out your settlement period, calculates what you are owed after fees, refunds, and reserves, and transfers that balance to your registered deposit method.

Note: That deposit method is either a bank account or, if you are enrolled in Express Payout, a Visa debit card.

That distinction matters more than most sellers realize because standard ACH transfers take 3 to 5 business days to clear, while Express Payout, Amazon’s faster disbursement program, gets funds to an in-network bank account or a Visa debit card within 24 hours, including weekends, so for sellers managing inventory, ad spend, or supplier payments, that speed difference is a cash flow decision.

Additionally to that (and this matters for the case), sellers do not often initiate disbursements manually, simply because Amazon processes them automatically at the close of each settlement period, roughly every 14 days. A seller can also request a manual disbursement at any time, provided their account is in good standing and their deposit method is verified.

With that foundation in place, here is what this case looked like from the seller’s side.

Three disbursements had already failed. Each one followed the same pattern: transfer rejected, funds returned to the balance, failure notification in the inbox.

The seller knew there was a problem with their deposit method and added a Visa debit card as an alternative before requesting a fourth disbursement of $69,003.33.

This time, the disbursement failed again, but the Amazon balance dropped by $69,003.33, the bank received nothing, and Amazon sent no notification.

The exception state and why standard tools cannot see it

A disbursement follows a simple system process.

Amazon generates a transfer instruction, passes it to a banking partner, waits for an acknowledgment, and records the result.

Each stage produces a defined outcome:

• If the transfer is never sent, the balance remains unchanged.

• If the bank rejects the transfer, the funds return to the balance with a notification.

• If the transfer is sent but never acknowledged, the system records no payout status.

This case produced the third condition. In Amazon, this is called an exception state.

The issue originated at the routing stage and traces back to a policy: Express Payout through a Visa debit card carries a hard limit of $50,000 per transaction. When a disbursement exceeds that amount, the system does not decline it. Instead, it reroutes automatically to the active bank account on file.

In this case, the bank account on file was the same account responsible for the prior three failed transfers.

After repeated failures on the same account, the system did not produce another standard rejection. The disbursement entered an exception state. The balance was reduced, the transfer was initiated, and the banking partner’s acknowledgment never arrived.

The Disbursements page error the seller encountered, appearing only for that specific settlement period while all others loaded correctly, was a symptom of the missing payout status.

The backend and the Seller Central interface draw from the same underlying records, so both surfaces returned the same gap. What looked like two separate problems, a broken page and a missing payment, was in fact a single condition reflected in two places.

The funds were not lost. They were suspended in a state that the system has no automated path to resolve.

Reading the signals before reaching for support

When a disbursement behaves unexpectedly, the instinct is to open a case immediately.

That is understandable, but in cases like this, Seller Support is only as useful as the information it can access. For that reason, before escalating, we first tried to determine where the process failed, because the answer determines who can actually fix it.

Three signals were available before any ticket was opened, and each one carried a diagnostic value.

1. The settlement table is the most reliable audit tool a seller has access to.

Every period’s beginning balance shows what happened to the previous disbursement, regardless of what the interface reports. In the three standard failures, the following period’s opening balance included the returned funds. After the fourth disbursement, it did not. Reading the balances in sequence reveals the outcome more clearly than any support interaction.

2. The disbursement email record is the second signal.

Amazon sends a notification for successful and failed payouts. A disbursement that produces neither is different from standard failure, and that absence indicates the problem occurred in the middle of the process rather than at the endpoints.

3. The scope of the page error is the third.

An error isolated to a single settlement period, while all surrounding periods load correctly, indicates a data gap in that specific payout record rather than a platform-wide issue. That isolation is itself diagnostic: it shows the problem is tied to one event and helps narrow where to investigate.

Taken together, these three signals identified the exception state before any internal tools were required.

Context

The products were live. The sales were not.

A seller from a cleaning product brand came to us with a straightforward request: the products were live on Amazon, but sales were not moving at the pace they were expecting.

This time, there was no suppression event, no ranking crash, no policy flag to investigate.

The listings were simply underperforming, and the seller wanted to do everything possible to increase visibility.

This turned out to be a two-part case. The first part involved all the ASINs in the catalog: every listing needed an AI Listing Backend Enhancement, our optimization service designed to improve how Rufus and COSMO read, index, and rank a product. The second part involved a subset of those ASINs: several products were standalone listings that should have been grouped together as a variation family, and that structure needed to be built correctly before the optimization work could be fully applied.

For the record, the process involves two parallel tracks: front-and-back-end content optimization built around semantic SEO relevance rather than keyword density, improving the content of the listings to match how customers actually search, and running a full audit of the backend fields that Amazon’s system reads but sellers rarely check.

That audit is where the case got interesting. What started as a routine optimization job uncovered three backend errors that had been there since the products launched, these errors never generated an issue, never triggered a suppression, and had simply been encoding incorrect information into the catalog record.

Before any variation family could be built, those needed to be resolved.

Diagnostic

What was actually blocking them

To understand why those three errors mattered, it helps to understand how Amazon decides which products to surface in the first place. Amazon places listing quality and completeness second on its search ranking hierarchy, behind only sales velocity. The practical implication: before a product can earn velocity, it has to give the system enough information to surface it accurately.

A catalog that is thin at the backend attribute level (not just light on copy) starts every query at a disadvantage.

That was part of the reason these products were underperforming. The listings had been created without a backend audit. The content was sparse, key attributes were empty or incorrect, and the system had no variation structure to consolidate the catalog around a single detail page. Individually, each gap was small. Together, they added up to a system that did not have enough information to rank confidently.

The AI Listing Backend Enhancement addresses this across two layers of Amazon’s discovery infrastructure.

The first is the traditional search index. Attributes like item count, unit of measure, and product type are indexed directly. Title and bullet copy are not substitutes for these fields.

For example, a query for “3 pack cleaning spray” is matched against the item count attribute and considers the title. If that field says 1, the ASIN does not match the query, regardless of what the listing says.

The second is the AI context layer. Rufus and COSMO construct their understanding of a product from catalog data. When a customer asks Rufus for a product recommendation, it surfaces products for which it has sufficient structured context to generate a confident answer. So, a thin or inconsistent backend record does not produce a negative signal, it produces an absence of signal. And absence disadvantages the product in every recommendation.

With that in mind, when we did the category listing report audit (standard step in the service process), to see which fields were empty, misaligned, or inaccurate, we found three errors introduced at listing creation:

Item count: The three-pack ASIN recorded an item count of 1. This is the field pack-size queries resolve against. The error was silent; the listing had been live with this value since launch.

Unit of measure: One ASIN used “Fl Oz” for unit count while the others used “Ounces.” In product types subject to Size Normalization, the displayed size string is derived from this attribute -- not from the listing copy. Inconsistent unit types across children that share a variation family produce inconsistent size labels in the variation selector.

Expiration status: Expiration flags were mixed across ASINs in the same product line. As structurally identical products, they should carry the same value. Inconsistency here creates ambiguity in the product type record.

None of these caused a processing error or a suppression. The system accepted all three and built the catalog record around them. That is precisely what makes them worth finding before they are locked into a variation family at formation.

How we decided what to fix first

Knowing what was broken is only half the equation. The other half is deciding what to fix first and why, because in catalog work, sequence matters as much as the fix itself.

When a product underperforms without a visible system event, the first instinct is usually to look at the listing copy: the title, the bullets, the images. These are accessible and easy to evaluate. They are also not where the problem usually lives.

The category listing report shifts the diagnostic to the attribute layer—the fields that Rufus, COSMO, and the search index actually read. This report runs at the start of every AI LBE engagement because it shows what the system sees, not what the listing looks like. Those are not always the same thing.

This is exactly the type of report we analyze at the start of every catalog audit:

To understand why this matters, consider Amazon’s own ranking criteria, listing quality and completeness second, right behind sales velocity.

That placement matters because you cannot earn velocity from a listing that the system does not fully understand.

This is why backend fields that seem minor are worth filling.

For example, expiration status does not change what the customer sees, but it contributes to the completeness signal, or Alternative Keywords, which are invisible on the detail page, but they give Rufus the context it needs to recommend a product for queries the seller never thought to target.

Each field is a small signal. Together, they determine whether the system has a full picture of the product or a partial one.

There is also a protection angle that often goes unnoticed. Empty backend fields are fields anyone with catalog access can write to. A hijacker or unauthorized contributor can populate those attributes with incorrect values, and the seller may not catch it until the damage is done. Filling those fields accurately is not just optimization, it is also how you close that door.

The three attribute inconsistencies were not what was causing the underperformance. They were found because the audit was run systematically. Without it, they would have been carried straight into the variation family.

That matters because structural attributes are written into the catalog record at formation. Fixing them after the family is live is harder and riskier than fixing them before. The audit is what makes that possible.

The broader logic is simple: low velocity comes from low visibility, low visibility comes from an incomplete catalog, and an incomplete catalog is almost always the result of a listing that was never properly audited at launch.

Context

Looking at the right place but the wrong marketplace.

Our client had two ASINs under the same brand that lost search visibility in the US. Both were card game products, correctly categorized in the US within the browse node path.

No content had changed. No policy violation had been filed. From inside US Seller Central, the listings carried an adult restriction flag and were no longer appearing in organic search results.

The seller’s first assumption was reasonable: if the flag is on the US listing, the cause must be in the US catalog. Their products were active in the United States and Canada only. They had no accounts open on other marketplaces, had not submitted listings to those regions, and had not authorized any international catalog activity.

Looking at the US side of the problem was the logical starting point.

That assumption was incorrect, and the gap between what the US interface showed and where the problem actually lived is the core of this case.

What the seller did not fully account for was that within Amazon’s FBA settings, there is a program called “Allow Amazon to buy my products to sell globally,” which I sometimes call “Global Listings.” All eligible FBA sellers are automatically enrolled upon account creation.

Under this program, Amazon purchases the seller’s products domestically and lists them in its global stores when it identifies demand or wants to test the product in those markets. The seller is paid as if it were a domestic sale. The customer receives the product as if they had ordered locally. The seller takes no action, receives no notification that their product is now listed abroad, and often has no awareness that the program is running at all.

Also, keep in mind that sellers do not need to actively list or sell in those regions for the accounts to exist and for ASINs to appear in those marketplaces’ catalog, whether through the Build International Listings tool or through automated catalog propagation triggered by Brand Registry and global selling infrastructure.

What they also did not account for is that product catalog data is not siloed by marketplace. A browse node contribution made in any marketplace, by any contributor with catalog authority over that ASIN, can propagate to and influence the product’s behavior in the US.

Diagnostic

How a foreign browse node reaches a US listing

Once we understood that Amazon was operating these ASINs in foreign marketplaces through International listings, the next question was: what had Amazon’s systems actually done with those listings?

After a lot of research, we found that Amazon held the retail offer in Australia, Singapore, and Japan, and those markeplaces where causing the suppression due to a category mismatch, which gave us the starting point. The foreign marketplace listings existed. Amazon was the seller of record. That meant Amazon’s internal catalog systems, not the brand, had the authority to assign browse nodes in those markets. The audit confirmed what those systems had done.

Identifying the source requires manually checking each marketplace one at a time, a process that is both slow and unreliable when the contributing marketplace is not one the seller is aware of.

The affected ASINs were placed in the following adult-classified browse nodes:

• Australia: Health, Household and Personal Care > Sex and Sensuality > Novelty and Games

• Singapore: Health, Household and Personal Care > Sex and Sensuality

• Japan: Health and Personal Care > Sexual Wellness > Novelties

Each of these placements was made by Data Augmenters: Amazon’s internal systems or teams responsible for populating catalog attributes across marketplaces when Amazon holds the retail offer. Data Augmenters do not have direct product knowledge. They infer classifications from available signals, including brand name, historical purchase behavior, and the demographic profile of the buyer base. In this case, the brand name, combined with the purchase history and buyer profile of the product, produced signals that pointed the system toward sexual wellness classifications rather than the correct card game path.

Each misclassified browse node generated a catalog contribution that Amazon’s system read as adult product classification. The result was the activation of a block_from_all_product_search enforcement state on the US listing.

The US interface did not reflect the origin of the problem. In US Seller Central, the listing showed an adult restriction flag with no indication that the source was from a foreign marketplace. The contributing browse nodes were only visible by auditing each affected marketplace’s catalog state directly. The symptom was in the US. The cause was in three other countries, placed there by a program the seller did not know they were enrolled in.

The enforcement path ran in one direction only: foreign browse node assignment > global catalog flag read > US search suppression. Correcting the US flag required correcting the foreign browse nodes first. There was no shortcut through the US side of the catalog.

Most sellers focus on what appears on the product page. Amazon’s systems read much more than that.

When backend attributes are incomplete, the catalog begins inferring signals from other sources. That is often where misclassification starts.

Though Process

Why did we not start with the US

The Diagnostic established that the suppression flag had a foreign origin and that Amazon held catalog authority in those markets. That finding determined the entire resolution strategy.

The first instinct in most suppression cases is to audit US-side attributes. That instinct is correct as a starting point, but it can become a trap if the investigation stops there.

Before submitting any US-side content correction, the following question needs to be answered: Is the suppression originating from a US catalog contribution, or is it a downstream effect of a flag that was set elsewhere?

In this case, acting on US content first would have produced no result. The suppression was not caused by a US attribute. Submitting flat file updates to US content, or opening cases against the US listing, would have left the foreign browse node contributions intact, and the suppression would have persisted.

The correct evaluation path was:

1. Confirm the exact enforcement state for the ASIN (adult restriction or search suppression flag).

2. Audit the ASIN’s browse node assignments across all marketplaces where the ASIN is in the catalog, not just those where the seller is actively selling.

3. Identify which marketplace holds the contributing browse node that is generating the flag.

4. Determine who holds catalog authority in that marketplace. In this case, Amazon held the winning contribution on the foreign marketplaces, meaning the seller could not simply overwrite the browse node via a standard flat-file upload.

5. Design the correction to address the foreign marketplace contribution directly.

The decision not to open a US case first was deliberate. Opening a US case without resolving the source contribution would have added process overhead without addressing the root cause.

Additionally, because Amazon held catalog authority in the foreign marketplaces, the correction path required marketplace-specific case submissions requesting browse node synchronization, not seller-side content pushes. This distinction between seller-controlled contributions and Amazon-controlled contributions is one of the most important variables in any suppression case.
